Booking Instructions

To book any rooms in the Engineering complex, you must go online using the Office 365 Calendar system. Instructions on how to book the rooms and resources available are located at this link:

Faculty & Staff - Best Practices and Protocols for Rooms

  • AV capabilities in all meeting rooms and classrooms use the Solstice system. Instructions on how to use the Solstice system are available at this link: https://www.eng.uwo.ca/itg/services/solstice-pods.html
  • Descriptions of the meeting must appropriately reflect what the room is being used for (in Office 365) and should include the name of the person booking the room.
  • Graduate Student Classes and thesis defenses should only be booked in rooms large enough to accommodate the group size. The best rooms are SEB 3102 and ACEB 3445. Please contact ITG in advance to familiarize yourself with each rooms capabilities and hardware. It is the responsibility of the faculty supervisor to ensure that the space is cleaned and all furniture returned to its usual state when the meeting/class ends.
  • Please ensure you have the correct door code or Western ID card to enter the room and that you enter and exit the room at the correct time.
  • If you require preparation time before a meeting, please ensure to book time before the meeting starts to ensure you can access the room at the time needed. For all meeting rooms with wireless connectivity, the first time you need to use this technology you should book an extra 30 minutes prior to the start of your meeting, so that you have time to download the software necessary on your laptop. If you require assistance, please contact the ITG HelpDesk well in advance of the start-time of the meeting.
  • Please be considerate and do not block book re-curing meetings; unless you know that the room will be used (i.e., do not book it 'just-in-case').
  • Please ensure that all equipment required for the scheduled meetings/defenses (projectors, laptops, extension cords, AV keys) are pre-booked and available for the faculty, staff or graduate students use prior to the start time of the meeting. It is very disruptive to those who have offices next to meeting rooms when people are asking for these items (including the door code) prior to their meeting.
  • Return the room to the state it was in when you entered the space. For example, move the tables and chairs back to the way you found it, and clean up your garbage.
  • Do not steal chairs and other furniture from other rooms/spaces.

ACEB

The following meeting rooms in ACEB are designated for priority booking by students (both undergraduate and graduate): ACEB 3450 and 4450.

  • Rooms are accessible by using your Western ID card.
  • Only the person booking the room will have card access to enter the space.
  • Rooms may be booked for a maximum of 3 hours at a time; no recurring meetings are permitted.
  • Only one 3-hour time slot can be booked per 24-hour time period.
  • Rooms may be booked up to two weeks in advance.
  • Rooms are not to be used for independent study; they are intended for group study/work.
  • Faculty and staff may book these rooms when they are available (on a first come/first serve basis). You may not 'bump' a student booking without approval from the Dean’s Office.
  • You may not schedule classes or thesis defenses in these rooms at any time.

Rooms ACEB 2437, 2439, 2445, 2448, 2450, and 3448 are not available at this time for booking.

  • Meeting Room ACEB 3445 can only be booked by faculty and staff, and the above restrictions (i.e., booking length, recurring meeting times, and date) do not apply. This room IS available for booking.

Classrooms (1410, 1415, 1420, 1450 and the U/Grad Design Labs 2435, 2440)

  • Accessible by using your Western ID card, but will be unlocked between 7am – 10pm weekdays.
  • Faculty and staff wanting to book a classroom must make the request in the Office 365 Calendar system. These requests will then be approved/not approved by Undergraduate Services.
  • ACEB 1415 is booked on Tuesdays from 4:30-5:30 p.m. for Dean’s Hours. Requests to use this space during this time must go through Sue Chapman in the Dean’s Office (schapman@eng.uwo.ca).

Meeting Room – ACEB 2405C

  • This room is dedicated to the School of Biomedical Engineering.
  • Room capacity is 2.
  • All requests to use this space must go through Christine Ellwood in SBME (cpalme45@uwo.ca).

ICLR Board Room (4405), Faculty/Staff Lounge (3405), Atrium and Social Spaces

  • All requests to use these spaces must go through Sue Chapman in the Dean’s Office (schapman@eng.uwo.ca)
  • The ICLR is not available for general use. It can be booked for Dean’s special events (such as Distinguished guests/visitors, accreditation visits, etc), upon approval of the Dean’s Office and the ICLR.

CMLP

Dillon Atrium and Social Spaces

  • All requests to use these spaces must go through Sue Chapman in the Dean’s Office (schapman@eng.uwo.ca).

Meeting Rooms (60A and 60B)

  • Undergraduate students are not to use these rooms at any time.
  • Graduate students may book these rooms through their Department Administrators, who are responsible for ensuring the door is open/unlocked.

CMLP 57

SEB

Classrooms (2094, 2099, 3109)

  • Faculty and staff wanting to book a classroom must book these rooms in the Office 365 Calendar system. These requests will then be approved/not approved by the Undergraduate Services office.
  • For bookings during the Dean’s Seminar Hour in SEB 3109 (Thursdays at 11:30 AM – 2:30 PM), please contact Sue Chapman in the Dean’s Office (schapman@eng.uwo.ca).
  • SEB 2094 is accessible by using your Western ID card and the door will be unlocked between 7am – 8pm weekdays. No food is allowed in the space, and you may enter if the room is not in use by a class (class schedule will be posted on the door).
  • SEB 3109 is booked on Thursdays from 12:00-2:00 p.m. for Dean’s Hours. Requests to use this space during this time must go through Sue Chapman in the Dean’s Office (schapman@eng.uwo.ca).

Meeting Room - 2009a

  • Undergraduate students are not to use this room at any time.
  • Graduate students may book these rooms through their Department Administrators, who are responsible for ensuring the door is open/unlocked.

  • Thesis defenses or classes are NOT to be scheduled in this room.

Meeting Room - 3012

  • This room is dedicated to the Civil & Environmental Engineering department.
  • Room capacity is 3.
  • All requests to use this space must go through Stephanie Laurence in CEE (Stephanie.laurence@uwo.ca).

Meeting Room – 3102

  • This room is dedicated to the Mechanical & Materials Engineering department.
  • Room capacity is 6.
  • All requests to use this space must go through Karen Henry in MME (karen.henry@uwo.ca). Karen will inform the individual who books the room of the door code they are to use.

Faculty/Staff Lounge (2009b)

  • Any request to use this space must go through Sue Chapman in the Dean’s Office.

SEB 43

  • Reserved as a quiet study space for MEng students only on a drop-in basis 24/7. Desk space is available on a first-come, first-served basis. Lockers are available and are assigned by the Department. This room requires card access, which is set up upon admission of the student by the Department.

SEB 44 – Graduate Student Lounge

  • This space is managed by the Graduate Engineering Society. This space contains a meeting room that can be used for group meetings. Access is granted to all Engineering graduate students at the beginning of their program. This room requires card access, which is set up upon admission of the student by the Department..

TEB

Meeting Room – TEB 234

  • This room is dedicated to the Electrical & Computer Engineering department.
  • Room capacity is 4.
  • All requests to use this space must go through Ingrid Timusk in ECE (itimusk2@uwo.ca). Ingrid will inform the individual who books the room of the door code they are to use.

Meeting Room – TEB 434

  • This room is dedicated to the Chemical & Biochemical Engineering department.
  • Room capacity is 4.
  • All requests to use this space must go through Myriam Delgado in CBE (mdelgad@uwo.ca). Myriam will inform the individual who books the room of the door code they are to use.
