Introduction
To configure your Western e-mail account on your phone, see ITS's instructions. If you have difficulty with this, our ITG help desk can offer assistance.
Western's e-mail can be configured on a number of e-mail clients, such as Outlook, Thunderbird, Entourage, Mac Mail, and Windows Live Mail.
Western Directory
If configured in Outlook, the Western Directory can be searched through the To, CC and BCC address boxes. It is recommended to use partial names or surnames, as when using a full name, the middle initial may throw off the search. When complete, click Check Names or CTRL-K to resolve these names from the Western Directory and your Contacts list. Where multiple results are available, it will give you the option to select the desired recipient.
The Western Directory may be accessed from Outlook via the “directory.uwo.ca” address book.
Distribution Lists
UWO List Guardian may be used to find mailing distribution lists. It requires that you log in with your Western credentials in order to access any of these mailing lists. The Engineering mailing lists typically start with eng, and may have the word Engineering in their description.
Calendaring
Your calendar is now on the JES system, and is usable through your Outlook or Thunderbird client software as well as Convergence.

Using your Western E-mail in Outlook
In Outlook, items located under the 'Folders –your name' are folders located on Western's e-mail server. Anything under Personal Folders are local folders that will only be accessible in Outlook, unless you choose to move these from your local folders to your JES (UWO) mailbox. You will need to backup your offline mail to either your desktop or your H-drive.
Back up Your Local Personal Folders File
It is recommended to back up your local email Personal Folders file regularly to ensure you have a backup copy, as this mail is stored on your machine.
Procedures
- Close Outlook.
- Open Local PST File (username) desktop shortcut. This is the local folder where PST files are stored.
- Open Backup Mail desktop shortcut. This is the location on the network for backups.
- In the Local PST folder, find the PST file which should be named the same as your Engineering username. If you are not certain of the filename, see the additional notes section to determine the filename. Copy and paste it (overwrite the file using the same name) to the network Backup Mail folder.
Additional Notes
To determine the Personal Folders filename:
- Open Microsoft Outlook.
- Right-click on Personal Folders and select Properties.
- Click Advanced, the filename will be available in the filename box. You will need to scroll to the end of the line to determine the full name.
